General terms and conditions of sale of Chalets Montmorency

Welcome to Chalets Montmorency. Before confirming your reservation, please take a moment to review our general terms and conditions of sale, including our rates and cancellation policies.

1. Rates and Payment

Rates
Rates include accommodation as well as access to the listed facilities (indoor pool, spa, fireplaces).
Additional fees may apply for certain services or optional add-ons.
All prices are displayed in Canadian dollars (CAD) and include applicable taxes.

Accepted Payment Methods
We prefer payments by Interac e-Transfer, bank transfer, or secure online payments by Visa or MasterCard credit card. We comply with electronic transaction security standards.

2. Payment & Cancellation Policies

Conditions vary depending on the season, type of unit, and stay period.


A. Regular Winter & Summer

All villas and chalets with 4 bedrooms or more, as well as all unit types during long weekends

Payment
24 hours after booking confirmation: 50% of the total amount is charged (deposit)
30 days before arrival: remaining 50% is charged (balance)

Cancellation
Within 24 hours of booking confirmation: full refund (0% fee)
After 24 hours and more than 90 days before arrival: 25% cancellation fee
Between 30 and 89 days before arrival: 50% cancellation fee
30 days or less before arrival: 100% cancellation fee (non-refundable)


B. Summer – Economy Season

All units with 3 bedrooms or less during the summer season, and all unit types during shoulder seasons

Payment
30 days before arrival: 50% of the total amount is charged (deposit)
14 days before arrival: remaining 50% is charged (balance)

Cancellation
31 days or more before arrival: no fee (100% refundable)
Between 15 and 30 days before arrival: 50% cancellation fee
14 days or less before arrival: 100% cancellation fee (non-refundable)


C. High Season

Holiday period & special events (e.g. Mountain Bike World Cup, peak periods)

Payment
24 hours after booking confirmation: 50% of the total amount is charged (deposit)
60 days before arrival: remaining 50% is charged (balance)

Cancellation
Within 24 hours of booking confirmation: full refund (0% fee)
After 24 hours and more than 60 days before arrival: 50% cancellation fee
60 days or less before arrival: 100% cancellation fee (non-refundable)


Important

All cancellations must be submitted in writing. Refunds (when applicable) are issued by bank transfer. These policies apply to all reservations, including promotional bookings. No refunds will be issued for no-shows or early departures.


3. Reservation Modifications

Subject to availability, reservations may be modified without additional fees up to 14 days before arrival for 1- and 2-bedroom units, and up to 30 days before arrival for units with 3 bedrooms or more.

After this deadline, any modification will be considered a new reservation and may incur additional charges.

Not valid for high season stays and peak periods (e.g., holiday season, school breaks, long weekends).

4. Check-In and Check-Out Conditions

Number of Occupants
The number of guests occupying the unit must not exceed the maximum capacity indicated at the time of booking. Any undeclared additional guest may result in extra charges or cancellation of the stay without refund.

Reception
Our offices are open every day from 10:00 AM to 8:00 PM. Off-season hours (mid-April to mid-June and mid-October to the end of November): 10:00 AM to 4:00 PM.

Check-in
Units are available from 4:00 PM on the day of arrival.

Late arrival
If you plan to arrive after 8:00 PM, please inform us before 3:00 PM on the day of arrival to arrange for self-check-in.

Check-out
Check-out must be done before 10:00 AM.


Early check-in

Early check-in requests are possible, subject to availability, and are subject to a fee of $60 (plus taxes).
Early check-in can be arranged starting at 12:00 PM. Our team will send you an email to confirm availability.

Important: Please specify your early check-in request when making your online reservation.
⚠️ To guarantee an early check-in, it is necessary to book the previous night.

Special Note: During the low season, we will be happy to offer this service at no additional cost.

Late check-out
Late check-out requests are subject to availability and are subject to a fee of $80 (plus taxes). Late check-out is possible until 2:00 PM. Our team will send you an email to confirm availability.
Important: Please include your late check-out request when making your online reservation or at check in.
⚠️ To guarantee a late check-out, it is necessary to book an additional night.
Special Note: During the low season, we will be happy to offer this service at no additional cost.

5. Client Responsibilities

Guests agree to respect the property and the furniture provided. Any damage caused during the stay will be charged to the guest. Guests must also leave the unit in a reasonably clean condition. Additional cleaning fees may apply if necessary.

The guest responsible for the reservation is also responsible for the behavior of all occupants and visitors associated with their stay.

Credit Card Authorization for Incidentals

By making a reservation or staying at the property, the guest authorizes Chalets Montmorency to charge the credit card provided at the time of booking or check-in for any additional charges incurred during or after the stay, including but not limited to:

  • damages

  • excessive cleaning

  • security interventions

  • improper use of facilities

  • any operational measures required following an incident

This authorization constitutes explicit consent by the guest to the application of fees in accordance with these terms and conditions.

Security Deposit

A security deposit is required for all reservations. Please note that this amount is only a pre-authorization on your credit card and will not be charged immediately.

This temporary hold will be processed a few days before arrival or upon check-in, according to the following amounts:

  • $100 for studios and 1-bedroom condos
  • $200 for 2-bedroom condos
  • $300 for 3-bedroom condos
  • $400 for 4-bedroom condos
  • $500 for 5-bedroom condos
  • $600 for 6-bedroom chalets
  • $1,000 for 8-bedroom houses

The authorized amount on your card will be canceled after cleaning and inspection by our maintenance team, within a few days following your departure. This authorization may be canceled within 7 to 10 business days on your credit card statement. In case of damages or non-compliance with occupancy policies, the security deposit will be used to cover corresponding costs. A detailed email with photos and the invoice will be sent to the client. Long-term stays: For stays of 32 nights or more, the amount will be charged to your credit card.

6. Liability and Insurance

Chalets Montmorency cannot be held responsible for the loss, theft, or damage of guests’ personal belongings, including items forgotten, misplaced, or left unattended in the units, common areas, or public spaces on the property.

Personal belongings remain the sole responsibility of the guest at all times. We strongly recommend checking your belongings before departure and purchasing travel insurance to cover such situations.

7. Use of facilities and house rules

Our facilities are provided for personal use and must be respected for the benefit of other guests.

Interior Arrangement

Guests may rearrange furniture during their stay provided everything is returned to its original location before departure. Otherwise, additional fees may apply.

Children

Children are considered 17 years old and under.

Events and Gatherings

Parties, events, or gatherings are not permitted without prior authorization from management.

Fireplace

You may enjoy using the fireplace in your unit. If you are unfamiliar with its operation, please ask our team for assistance.

Fireplace instructions:

    • Open the fireplace damper before lighting a fire

    • Use only one log at a time

    • Do not close the glass doors if the fire becomes too intense

    • Never leave a fire unattended

    • Ensure the fire is fully extinguished before closing the damper

    • Keep a minimum clearance of 48 inches in front of the fireplace

    • Do not operate bathroom fans or the kitchen hood while using the fireplace

Firewood is not provided. Artificial logs are available at the reception desk and firewood can be purchased locally.

Note: Ski-in / Ski-out studios at the base of Mont-Sainte-Anne do not have fireplaces.

Quiet Hours

No noise after 11:00 p.m.

The World of Dogs

Although we love animals, we accept only dogs. It is mandatory to inform our reception team at the time of booking and/or upon arrival that you will be accompanied by your dog during your stay.

    • Cleaning fees are $25 per night per dog, up to a maximum of $125 (taxes not included).
    • As the owner or companion, you are fully responsible for your dog. You must clean up after your dog.
    • It is forbidden for your dog to relieve itself on the balconies and terraces of Chalets Montmorency.
    • A maximum of two dogs per unit is permitted.
    • Dogs are not allowed in our “Ski in/Ski out” studios.
    • Additionally, dogs are not allowed in the pool or the laundry room.

Each guest accompanied by a dog must also comply with the following terms and conditions:

    • The safety of other guests and staff will never be compromised by your dog’s presence.
    • Dogs must always be kept on a leash in public areas of the property.
    • Dogs must never be left unsupervised in your unit.
    • If you need to leave your dog alone in the unit, it must be in a crate.
    • The tranquility of other guests must not be disturbed by your dog.
    • Please bring your dog’s bed. It is forbidden to allow your dog on the beds, sofas, or chairs.
    • The furniture in the unit must not be damaged by your dog during your stay.
    • You are responsible for any damages caused by your dog to our property.

Management reserves the right to revoke a dog’s stay at any time if these conditions are not respected, without refund.

Non-Smoking Policy

Chalets Montmorency is a smoke-free property, and we pride ourselves on providing a smoke-free environment. All units and common areas are 100% non-smoking. Failure to comply with this policy will incur a $200.00 penalty on your credit card for odor treatment.

Enforcement of Rules

Chalets Montmorency reserves the right to refuse access or terminate a stay if guests fail to respect these rules or behave in a manner that disturbs other guests. No refund will be issued in such cases.

8. Services and Facilities

To enhance your stay, Chalets Montmorency offers a variety of services and shared facilities for the enjoyment and comfort of our guests.

Pool and Hot Tub

Our indoor pool and hot tub are open to all our guests during reception hours. A maximum of 10 people per time slot. Please contact our reception to make a reservation.

Private spas in certain chalets

Since we do not want to disturb our guests during their stay, we do not provide daily maintenance of your spa. Inside your unit, you will find our spa instructions, please follow them for proper use and maintenance of your private spa. Additional fees may apply for improper use of the spa.

Free High-Speed Wireless Internet

We offer supervised free wireless internet access to all our guests at the reception, pool, and in all our units.

Seasonal barbecues

Each off-site unit has its own barbecue, and several barbecue stations are located on the main site of Chalets Montmorency. Available only during the summer season.

Electric Vehicle Charging Stations

Two electric vehicle charging stations are available for all our guests. They are located on the main site of Chalets Montmorency. Please ensure to properly coil the cable after use to avoid any damage.

Seasonal outdoor fire pits

Shared outdoor firepit in the Chalets Montmorency site courtyard, in the courtyard of our 4- and 5-bedroom villas. Private outdoor firepit in the courtyard of the 6-bedroom chalet and our 8-bedroom farmhouse. Available only during the summer season. Wood not provided.

Picnic Areas

Shared picnic tables in the Chalets Montmorency site courtyard, in the courtyard of our 4- and 5-bedroom villas, and at our farmhouse. Each off-site unit has a patio set on the balcony. Available only during the summer season. (Not available for our “Ski in/Ski out” studios)

Laundry facilities

Free public laundry on our main site.
Paid public laundry facilities are available at the ski-in / ski-out studios.
Laundry detergent is available for purchase at the reception.

Parking

Parking is free for all our guests.

Safe Use of Facilities

Facilities (pool, spa, common areas, and equipment) must be used safely and responsibly. Any incident resulting from improper use of the facilities that requires temporary closure, staff intervention, specialized cleaning, or any safety measures may result in additional charges billed to the responsible guest.

9. Force Majeure

In cases of force majeure (severe weather, pandemics, etc.), Chalets Montmorency reserves the right to modify, postpone, or cancel a reservation.

10. Acceptance of Terms and Conditions

Confirmation of your reservation implies full acceptance of these general terms and conditions of sale.

We are pleased to welcome you to one of our units and ask that you respect the rules and guidelines above to ensure a pleasant stay.

By confirming a reservation or staying in one of our units, the guest acknowledges having read, understood, and accepted these terms and authorizes Chalets Montmorency to charge applicable fees to the credit card provided at the time of booking or during the stay when necessary.
